Why refresh PRINCE2 project management?

After every few years, the owners of PRINCE2 project management, the UK’s Cabinet Office, review the method of the project management so that it meets the requirements of the users. So PRINCE2 Project Management Software also needs some developments. PRINCE2 Project Management Software are impacted by PRINCE2 refresh.

The Cabinet Office publicly began a consultation with more than 150 organizations and individuals so that they could gather others’ opinion about the PRINCE2 . After receiving the feedback, a group of trainers, consultants, academics and users checked it so that they could have a clear picture of people’s opinion about the PRINCE2. This finally imact all PRINCE2 Project Management Training modules and also PRINCE2 Project Management Training changed to meet the new needs.

The main outcome of this consultation was that the majority of the users wanted the manual to provide more guidance and less instruction. They also suggested that PRINCE2 should be connected with other Cabined Office products for example Managing Successful Programs and Management of Risk. Some users also suggested that guidance on how to scale the PRINCe2 should also be provided, especially for small projects.
What are the most significant changes?
The PRINCE2 Project Management Templates updates have been refreshed and some aspects of the method have been improved but, the main concepts are almost the same but still some changes are made in PRINCE2 Project Management Templates. The main reason why PRINCE2 was not renamed PRINCE3 was to ensure that the main principles are same but there are some improvements in the method.

The Impact of the PRINCE2 2009 Refresh and the PRINCE2 Qualifications

what is prince2 qualification?
The PRINCE 2009 refresh provides two manuals which is the most important change. The two books are ‘Managing Successful Projects Using PRINCE2’ and ‘Directing Successful Projects Using PRINCE2’. The latter of the two is a new addition. These manuals are set in such a way that people can easily understand about PRINCE2 and navigate through it with ease to obtain best prince2 qualification.
‘Directing Successful Projects Using PRINCE2’ is targeted mostly at the project board executives, board members, and the project’s sponsors to develop a better PRINCE2 Project Management Course. This PRINCE2 Course will give them guidance on some things about the project such as if the project is on the right track or if the project has accomplished what it was started for. The major benefit from this new manual is that the project board sponsors will have an extra qualification. This is something which many people have wanted for a long time.
How has the PRINCE2 ‘Managing Successful Projects Using PRINCE2′ manual changed? Does it effect PRINCE2 Project Management Jobs?
The answer is YES and NO. Because For PRINCE2 Project Management Jobs and for Managing Projects Using PRINCE2’ is also been improved. Many new chapters have been added which explain things like ‘Principles of PRINCE2’ and ‘Tailoring PRINCE2 to the Project Environment’, enabling users to understand more easily about the PRINCE2 project management. It also has an impact on PRINCE2 Project Management Certification and other courses too but still PRINCE2 Project Management Certification and exams are same.
In addition, the chapters ‘Combined’ and ‘Techniques’ have been combined into the new Themes section.
The 2009 edition of the PRINCE2 project management also have less process and sub processes. In fact, sub processes have been completely removed from it. It has been replaced by activities. Thus, for example, if you start a project, you will have to follow five or six activities instead of many sub processes. This way it’s more practical.
The following chapters are included in the 2009 manual:
• Introduction
• Principles
• Themes
• Processes
• Tailoring PRINCE2 to the project environment
The useful Appendices have also been included which contain product description for PRINCE2’s management products.

A Gantt chart is a popular project management bar chart that tracks tasks across time. When first developed in 1917, the Gantt chart did not show the relationships between tasks. This has become common in current use, as both time and interdependencies between tasks are tracked. And have proved to be a great help in project management documentation. Since their introduction, Gantt charts have become an industry standard. They are an important project management documentation tool used for showing the phases, tasks, milestones and resources needed as part of a project. But before jumping into making a Gantt chart, we should know some other important basics of project management documentation. Project Planning The key to successful project management documentation is a fool-proof planning. Creating a project plan is the first thing you should do when undertaking any kind of project management documentation. Often project planning is ignored in favor of getting on with the work. However, many people fail to realize the importance of a project plan in saving time, money and many problems. Step 1: Project Goals The very first step for successful project management documentation’s planning is when the needs of the stakeholders have been met. A stakeholder is anybody directly or indirectly impacted by the project. As a first step, it is important to identify the stakeholders in your project. It is not always easy to identify the stakeholders of a project, particularly those impacted indirectly. Examples of stakeholders are: I. The project sponsor. II. The customer who receives the deliverables. III. The users of the project outputs. IV. The project manager and project team. The second step is to find out their needs. The best way to do this is by conducting stakeholder interviews. Do not be hasty during the interviews to draw out the true needs that create real benefits. Often stakeholders will talk about needs that are not relevant and do not deliver benefits. These can be recorded and set to be of low priority. Then after having a comprehensive list of needs is to prioritize them. From the prioritized list, create a set of goals that can be easily measured and met. A technique for doing this is to review them against the SMART principle. This way it will be easy to know when a goal has been achieved. Once you have established a clear set of goals, they should be recorded in the project plan. It can be useful to also include the needs and expectations of your stakeholders. This is the most difficult part of the planning process completed. It is time to move on and look at the project deliverables. Step 2: Project Deliverables Using the goals you have defined in precious step, create a list of things the project needs to deliver in order to meet those goals. Specify when and how each item must be delivered to meet the expectations. Add the deliverables to the project plan with an estimated delivery date.

If you want your project to succeed, you need to spend a little time and effort managing it. The trouble is that, most people see project management documentation as a big overhead. What is the most important thing you need to do to successfully manage your project management documentation that does not take up much time?
The key for successful project management documentation in a nutshell, would be about how to manage the people doing the work (that includes you too), to deliver their results on time and to a budget, while keeping the risk of failure to a minimum.
It really does not seem difficult to do, but for some reason, many people think that project management documentation is a massive overhead to any project. People often say phrases like “oh, do not waste your time planning the work or documenting it on excel, just do it!” or “why are you wasting your time writing the objectives on spreadsheets, we all know what needs to be done!”
So the foremost shortcut for successful project management documentation is:
Understand the few essential brief documents you need to create and regularly review during the life of your project.
There are some documents to make and maintain:

Document 1 – The Project Charter

It can be understood by an example; at the beginning of your project, you need to create a one-page document called the project charter for a smooth running of project management documentation. This document will make sure that you and your customer understand the general goals of the project. After all, if you do not know where you are going, how are you going to get there? Remember, you could also be your own customer!

To get this information, have a meeting with your customer and ask the following three essential questions:
I. What are the objectives of your project?
II. What do you want to produce or deliver?
III. What is the business reason for doing this project?
After the meeting note the answers to these questions in your project charter and email this back to your customer and ask them for their approval. This is like a benchmark for your project management documentation.
You have now successfully completed the most important aspect of project management documentation, and that is to understand and agree with your customer where you are going with this project.

Document 2 – Project Plan

Now the next most important document is called the plan. This will include a list of the work that needs to be done (also referred to as the scope of work), who will do it, the cost and time to do this work, and finally a simple review of what will go wrong, known as a risk assessment. This is the second; but the most important document of project management documentation.
If you look at the time spent to achieve this important step in a project, you are looking at one or two meetings and about 30 minutes to write up the information, say 2 hours in total for a small project. Not a big overhead at all.

It was created in the 1990s. It was started as the standard project management documentation for public projects. Now, it is being used in most parts of the world as the standard project management documentation. Also, it is now being used in both public and private sectors. PRINCE2 project documentation is originated from PROMPTII and from the earlier PRINCE method. PRINCE was started as the project management documentation only for IT projects but after a few years, its use grew. Therefore, the British government released PRINCE2 project documentation as the general project management documentation.
The methodology includes the management, organization and control of the project. Its methodology is different than the reactive/adaptive methods like Scrum. It is divided into three parts:
1. Initiation
2. Middle
3. Closure

This provides an organized approach to the procedure of project management documentation.

There are many benefits of this project management documentation such as:

• It provides a clearly explained framework for handling projects.
• It provides methods to guide people and activities involved in the project and it describes how to plan and supervise the project.
• It also states what to do if the project doesn’t turn out as planned.
• Resources can be controlled efficiently.
• The processes can be carried out in an orderly and efficient way.
• It provides one common language for all the people involved in the project.
The processes for this project management documentation are as follows.
Starting up a project
The first process for the project management documentation is to appoint the project management team. Then, a project brief is prepared. The approach to the project is decided and the next stage is planned.
Initiating a project
The project brief is shaped into a Business case which is presented to the project board for approval. Project files are also created and the next stage is planned.
Executing a project
The next stage is the execution of the project plan. During this stage all the work on the project is performed. Unfavorable situations are dealt with and the work is divided into modules and distributed amongst the staff. According to this protocol, the work is tracked and delivered.
Closing a project
Closing a project involves everything needed to end a project. The project is decommissioned and the resources are freed to be used in other projects. The project is then evaluated and a last quality check is done.
There are two exams which have to be passed to acquire PRINC2 project documentation – the Foundation and the Practitioner. The Foundation exam lasts for one hour and it is a multiple choice test. The Practitioner is a 2.5 hour, essay-based exam. The APM group manages the exams. Candidates can self-study or join a training organization to give these exams. Practitioners have to take exam after every 5 years to remain accredited.
However, there is some misunderstanding regarding the PRINCE2 project documentation. Most people think that it is not suitable for small projects, which is not the case at all. The methodology can be changed according to the needs of the project.

It is therefore indeed a very important thing and there is a skill behind good project management documentation. Which we will throw light upon.
Project management documentation is a very subtle skill which requires experience to master. The problem with the inexperienced project manager is that he/she believes that his/her goal is to bombard the customer and the project team with mountains of paperwork equivalent to a small rain forest. Sometimes the reasoning is that if you pass enough paper and/or emails around, nobody will read them. This is not what Project management documentation should be. Project management documentation can be thought of as part of your customer services team. In fact, nobody will ever get closer to your customer and their business than during a project. So Project management documentation is the best time for building a lasting impression and a good mutual relation. If your project manager can give up the pen and email, they can become a communication conduit between you and your customers rather than a bureaucratic blockage. Once this is understood and grasped the project manager can speak with the customer as often as possible and with the team only when necessary allowing the developers to keep developing and maintaining the customer relationship.
Of course project management documentation does require the production of some paperwork and this does include some information that can be used for protection when there is a problem which must be prepared in a very thorough yet precise and accurate hardcopy. We must not forget that there is always the risk of failure and the potential for things to end in the courtroom. So what are the key documents for the customer-services version of the project manager? Some key points or guidelines are given below:

Project Plan in Project Management Documentation

This is the most important thing that a project manager should produce and maintain through the life of the project. It contains the dates of all appointments, consultancy sessions, development work etc. It should be used to make it easy for the project manager to understand when the project is on track and when there have been slippages. It should also plan for the delivery of products necessary to the project during project management documentation.

Goal Log in Project Management Documentation

It is amazing how many projects people work on that have no defined goals. A goal during project management documentation is not necessarily “Develop the new sales order processing system.” This may well be the deliverable of the project but it conveys no information to the development team. A goal such as “Allow the automated processing of web orders” or better still “Allow the automated processing of 20,000 orders per day” relays a message to the team. Easy statement of these goals helps in design and decision making. They allow the team to understand the problems they are trying to solve. They provide an insight into the customer’s business. They allow visibility of goals achieved during a project. In short they are essential and are like benchmark for project management documentation.

Various Tools:

Gantt charts and PERT (Program Evaluation Review Technique) charts:

Gantt charts illustrate the start and finish dates of the terminal elements and summary elements of a project. They are in a form of bar graph. The Program (or Project) Evaluation and Review Technique, commonly abbreviated PERT, is a statistical tool, used in project management, that is designed to analyze and represent the tasks involved in completing a given project.

It is a project management technique for measuring project performance and progress in an objective manner. In a single integrated system, Earned Value Management is able to provide accurate forecasts of project performance problems, which is an important contribution for project management.

So this can be concluded by reviewing the above section that project management tools are very important for the management of the project.

A project is a conscientious or concerted effort, a purposeful activity which is done to work with a set or specified goal or purpose for the fulfillment of the given responsibility. Managing resources is handling financial and human resources in accordance with one’s fundamental object at its best. Document is a writing that holds and comprises the original, official or legal information that serves as a proof or evidence, and project management documentation gathers it all, therefore it is indispensable and inevitable for an organization.

.An organized and controlled middle
.An organized and controlled end
This is how the process helps in initiating, executing, controlling and closing the project in a disciplined manner by providing the easy platform to every participant.

Since Microsoft has been introduced in 1975 it brought the tremendous ease and comfort for project management documentation as it comprises with different programs like excel including spreadsheets.

. Implementation
. Testing
. Evaluation

When under pressure with all the load of the project, people often forget about the importance of thinking and planning the project beforehand. Projects that are not properly thought about, documented, and monitored are more likely to be a failure. Project management documentation templates helps to solve this problem by gathering all the information you need, making the rate of success higher. Here are some reasons for this:

1. Project Management Documentation Templates Structure

Usually, people work on more than one project at a time. Therefore, they are unable to focus on each of them. This has an adverse effect both on the task and on the individual. The purpose will not turn out well. Due to so many tasks, one’s mind and life will become a mess which will result in stagnation. Hence, the person won’t be able to complete even the most important things.
To avoid situations like these, one needs to be clear about the task from the beginning to the end. Project management documentation templates will help you to be clear and give a good structure to the joint venture. The project has to be made simple with the end-result in mind..

2. Project Management Documentation Templates Assurance and Confidence

By a completed project management documentation templates, a person can get a clear picture about the project which will ensure better decision making. Moreover, the completed project management documentation templates will provide confidence to both the person who completes them and the person who approves them. If the work is set out in a more standardized way, you are more likely to get approvals. The project boards are busy and therefore, it is essential that the information you provide them is simple and straightforward. This not only saves time but also increases the likelihood of an approval. To do this, project management documentation templates are the perfect thing.

3. Project Management Documentation Templates Clarity and Speed

With so many tasks at one hand, a person can become pressurized. Project management documentation templates help to calm a person and keep his focus on the project. This enables him to complete the whole task successfully.
Furthermore, by using project management documentation templates, a person can stop at any point and start from the same place he left off afterwards. This helps to speed up the process and you can complete the project successfully in a short amount of time. By completing good project management documentation templates, a person can save a lot of his team’s time.

4. Communication
